Handbook Update

If you have been unable to find answers to your questions in the handbook, did not understand the existing verbiage, or have any other suggestions on making the handbook a more valuable tool for your club - please feel free to submit comments at http://www.mcysa.org/forms/Handbook.htm.  The form is also linked in the Handbook Table of Contents.

Registration & Status Pages

Registration Forms Submitted using the OnLine Registration Applications. All information must be complete and accurate or they will be returned. As discussed at the June League Contact Meeting - Registration deadline is JANUARY 15, 2009

Check Registration Status Pages to keep an eye on what applications have been received - and - where they are in the verification process

League Contacts - If your club has many teams and you would like to complete the Registration Applications via a small application program (emailed to you), please please REQUEST MODULE now. There is no charge and the registration module is currently written in Microsoft Access 2000. Each module sent out is customized specifically for your club. It will require the same information as the online applications but should save you quite a bit of typing time as it is already pre-populated with last season's team and club info that must be verified and updated. As with the online forms, the deadline remains the same - it must be emailed back and received by midnight 01/15/09.

Preseason Conflict Notices

Conflict Notices are due - Monday 02/09/09

bullet

1) Check the published Season Game Dates
2) If a team has a conflict with a particular date where the majority of the team can not attend the game and therefore can not field a team a Preseason Conflict Notice can be submitted by the club League Contact.

3) Please keep in mind that the league can only schedule games for the published game dates.  Once the league schedule has been completed, if there is a scheduled game for a team on the date listed in their Conflict Notice, the schedule will be marked showing the game can not take place on the scheduled date.  It is then up to the two opposing clubs to determine a new Game Date (and time and field) and submit the details on a Schedule Change Request form (after the Schedule has been posted)

League Contacts can submit Preseason Conflict Notices at http://www.mcysa.org/forms/form-ConflictNotification.htm

NEW - As PCN's are received they will be logged on the Preseason Conflict Notice page so you can see what has been submitted and received.

PCN's will be reflected on the Home Game Schedule files sent out to club Field Schedulers.  All date conflicts must have alternate details (date/time/field) are resolved by both teams and included on the Home Game Schedule Files returned by the clubs.

League Game Schedule

bullet

Once Final Flighting is determined, the League Scheduler creates the Initial League Game Schedule.  This initial schedule will list game dates,  opponents, and indicate games that must be rescheduled due to an approved Preseason Conflict Notice received by the due date (see above.)

Once the Initial League Game Schedule has been created it is distributed to the club Field Schedulers as a Home Game Schedule file.  The Field Schedulers will add in the times and fields for their home games, new game dates/times/fields for their home games flagged as a PCN, and any changes (date/time/field) for any other home games that have been agreed to by both opponents.

Field Schedulers must return their completed Home Game Schedule file to the League Scheduler on or before the due date - 03/20/09 for S09  Penalties are assessed for clubs returning incomplete or late schedule files and will continue to accrue until their HGS is complete for all home games.

Information from all the Home Game Schedule files are merged with the initial League Schedule which forms the Master League Game Schedule for the upcoming season.

Team Game Packets are created from the Master League Game Schedule.  Packets include Game Cards, Schedules, Directions, and Flight Contacts for the upcoming season.  Game Packets are distributed at the Preseason Mandatory Coaches Meetings.

Games are expected to be played as listed in the Master League Game Schedule.  The only exceptions are those published in the League Handbook.

Teams playing in National Championship & NJ Cup

bullet

Automatic Postponement of League Games will be granted if you have a conflict with a SC/NC game on the same date.  Teams/Clubs MUST notify MCYSA asap as a team progress through the rounds.

(SPRING) Mandatory Club Primary Carding Contact Meeting - TBA

(SPRING) Club Carding Packets will be distributed at the meeting to attendees ONLY.  (Carding Packets are not distributed individually.)  If registration fees have not been received prior to the meeting, Registrars must bring a check to the meeting in order to pickup their club's carding packets. Packets are only available for teams who have been registered.

Carding Packets should be completed and turned into your District Commissioner for processing as soon as possible.  Last date to deliver Team Carding Packets to the DC's is 10 days prior to season start (for Spring this would be 03/26/09)

Club Field Schedulers

Each Club must identify a Field Scheduler.  Field Schedulers are involved in the completion of the league schedule.  The league creates the basic league schedule with the game dates and opponents, club Field Schedulers will submit the times and fields for their scheduled home games prior to season start.
Field Schedulers also receive game assignment confirmation from referees during each season, and may submit schedule changes for their home games in compliance with published guidelines in our League Handbook.

Field Scheduler meetings are held once or twice a year - about a month prior to a season start.  It is expected all clubs have a representative attend the Field Scheduler meetings.

Club League Contacts

Each Club must identify a League Contact.  All official business and communications between the League and Clubs are handled through the League Contact only.  The only exception is the involvement of Field Schedulers as the season schedule is being created.

Only Club League Contacts and Field Schedulers are permitted to submit schedule changes for their home games in compliance with published guidelines in our League Handbook.

League Contact Meetings are held six times a year.  All Full and Associate Club Members must have a representative attend all League Contact meetings.

There are seven (7) League Contact Meetings each year. Five (5) are held the first Monday in February, May, June, October, and December. In addition a League Contact Meeting is held the last Monday in March and the Tuesday after Labor Day in September as a kickoff to the new seasons. There are no League Contact Meetings held in January, April, July, August, and November.

bulletSPRING - Always the Tue, Wed, or Thur preceding the first Sunday in April  - Attendance required for coaches for all Spring teams that did not play the previous Fall in MCYSA.  (If the team played in fall and the coach attended the Fall meeting, they do not have to attend the Spring meeting.)

FLIGHTS with EVEN number of TEAMS FLIGHTS with ODD number of TEAMS
Most of the flights will have an even number of teams - usually 6, but some may have 8 or 10 teams.  ALL of those flights will use the Game Dates listed below.   Flights with odd number of teams (5, 7, 9, 11) need 1 or more additional game dates, but also remember each of these teams has one or more byes during the season.
